A project board with an AI copilot

Everything a modern board needs — plus Theo doing the tedious parts.

Kanban board view

Drag-and-drop cards across lists with colors, stars, priorities, checklists, covers, and a launch-critical Super tier.

Ask Theo on every board

A built-in AI rail that plans lists, creates and moves cards, applies colors, and answers questions in one message.

Scheduling calendar

Flip any board into a month or week calendar. Drag cards onto dates, and overlay your Google or Outlook calendar read-only.

Board rules

Butler-style automation: when a card moves, completes, or comes due, set its color, status, list, or schedule — no code.

Due-date reminders

Tiered reminders at 1 day, 5 hours, and 15 minutes before a card is due — in-app and by email — plus the due-moment nudge.

Sharing & assignees

Invite editors and viewers, share join links, assign teammates to cards, and discuss work in comments with @mentions.

Color logic

Map card colors to statuses or lists once — every future change keeps the board color-coded automatically.

Board templates

Start from curated templates for content calendars, campaigns, sprints, hiring pipelines, events, and personal planning.

Built from chat

Ask Theo in chat to “build me a content calendar for July” and get a complete board with lists, cards, and schedules.

How it works

1

Create a board

Start blank, pick a template, or ask Theo to build the board from a plain-English brief — lists and cards included.

2

Plan on board or calendar

Work kanban-style, then flip to the calendar to drag cards onto dates. Your external calendar overlays read-only.

3

Automate with rules

Set board rules so statuses, colors, and lists keep themselves in sync — and let reminders chase due dates for you.

4

Share with your team

Invite editors and viewers, assign cards, discuss in comments, and watch updates land live for everyone.

Frequently asked questions

What can I use Theo Boards for?

Anything you'd plan on a board: content calendars, marketing campaigns, sprints, sales pipelines, event plans, hiring, and personal to-dos. Boards are general-purpose — the calendar view makes them especially strong for anything with dates.

Can the AI actually edit my board?

Yes. Every board has an Ask Theo rail that can create lists and cards, move and schedule work, apply colors and priorities, seed checklists, and set up board rules — all from plain-English requests. It tells you exactly what it changed.

How do board rules work?

Rules run automatically when cards change — for example “when a card is completed, move it to Done and color it green” or “when a card comes due, mark it urgent.” You can order rules, scope them with filters, and toggle them anytime.

Do reminders work with my email?

Scheduled cards send tiered reminders at 1 day, 5 hours, and 15 minutes before the due time, plus the due moment itself — as in-app notifications and optional emails you can toggle in settings.

Can I share a board with people outside my team?

Yes. Share per-person as editor or viewer, or create a join link that lets anyone with the link join the board at the permission you pick. Viewers can follow along and comment without changing the board.
