The same names should not mean the same corrections. Save your spellings and give repeated text a spoken cue. “My sign-off” becomes your full closing, while your dictionary and Shorthand follow your account across devices.
Your spelling rules take priority over team rules. Spoken expansions need cleanup enabled.

On Mac and Windows, put your cursor in a text field, hold your dictation key, speak, then let go. The default is fn on Mac and Right Ctrl on Windows. On Android, select the Sidekick keyboard in an app that supports custom keyboards, then dictate. Some secure fields and apps restrict voice input or custom keyboards.
The benefit is less work after the transcript. Styles and Transforms shape rough speech into writing you can use. Dictionary and Shorthand reduce repeated corrections and typing. Destinations turn thoughts into notes, tasks or messages after setup and your approval. You can inspect, edit or undo AI changes instead of accepting them blindly. Sidekick is included in your paid OpenCharts membership, not a separate dictation subscription.
Your notes, dictionary, Shorthand and supported preferences sync with your OpenCharts account. Saved dictation history and recordings stay on the device that recorded them, not in a synced transcript library.
Search, edit, compare and re-run a saved dictation. Styles controls cleanup and app-specific tone; Transforms turns your words into polished prose, prompts, coding briefs or emails. Translation shortcuts work with speech or selected text. Save thoughts in Notes, teach your Dictionary, expand spoken Shorthand and track your usage in Insights. Hands-free and Command Mode offer more ways to dictate. Rewind and Whisper Mode are opt-in settings on Mac and Windows.
The desktop Files section transcribes audio or video files up to 30 minutes and 150 MB, with format support depending on your computer's decoder. File transcripts do not add to dictation History or statistics. Notetaker opens the separate OpenCharts Meetings workspace on the web, where Theo joins meetings as a visible participant. It is not a hidden desktop recorder.
Destinations can shape a dictation into a note, board card, task or message after the original text lands at your cursor. Only Scratchpad is enabled by default; other destinations need configuration, and external services need connections. Nothing is sent without your tap. A Teams-plan organization can share a dictionary and see its roster; only owners and admins manage membership and view team-wide Insights. Personal spelling rules take priority over shared ones.
Cloud transcription and cleanup are the default: audio from a dictation you start is sent for processing. Saved history and recordings are stored locally on that device. Retrying a recording sends its saved audio again at your request. Local history is not a promise of offline processing.
On Apple silicon Macs, on-device transcription is an optional setting with language and readiness limits; it can fall back to cloud processing. Local cleanup is a separate opt-in on supported Apple silicon Macs with macOS 26 or later, and has cleanup-level, length and availability limits with cloud fallbacks. Android and Windows use cloud processing. Sidekick is not an unconditional offline service.
